1. Who we are
Applyn is operated by Applyn Software Technologies, Indira Nagar, Sector 14, Lucknow, Uttar Pradesh 226016, India. This policy covers the Applyn website at https://applyn.in and the Chrome extension “AutoFill: Form Assistant” (together, the “Service”). Contact: support@applyn.in.
2. What the Service does
Applyn helps cyber cafe, CSC, and consultancy operators fill online forms faster and prepare photos, signatures, and PDFs. It is an independent tool and is not affiliated with, endorsed by, or connected to any government body or portal.
3. Information we handle
a. Account and license data (sent to our servers): Your name, cafe name, email address, phone number, subscription plan, seat usage, and billing transaction history.
b. Device data (sent to our servers): A generated device identifier and basic device details (such as browser and operating system), used solely to enforce seat limits and prevent unauthorized license sharing.
c. Payment data: Payments are processed securely by Razorpay. We receive payment status, transaction amount, Razorpay payment ID, and payment method type. We do not receive or store your credit/debit card numbers, UPI PINs, or net banking credentials.
d. Support data: Messages, feedback, and technical details you send to our support team.
e. Usage and diagnostic data: Basic counts of extension actions (such as form autofills and tool uses), extension version, and technical error codes. These diagnostics never contain customer form values, applicant names, or file contents.
f. Applicant (customer) data stored in your browser: Details you enter or import for your customers, such as name, date of birth, address, phone number, Aadhaar number, other form fields, and saved application credentials. By default this data is stored in your browser's local extension storage on your computer and is not sent to Applyn servers. Data in local browser storage is not encrypted at rest; operators must secure their counter computers with Windows or operating system user passwords and screen locks.
g. Multi-Counter Sync (optional): If you choose to enable Multi-Counter Sync to share client profiles between counters in your center, that profile passes through our secure servers over an encrypted HTTPS connection and is stored in an encrypted database under your cafe account so your other authorized workstations can retrieve it. Profiles remain until deleted by you or cleared when your session ends. Nobody at Applyn uses applicant data for any other purpose.
h. Files you process: Photo cropping, signature contrast whitening, and PDF compression run locally inside your browser using HTML5 Canvas and local JavaScript libraries (pdf-lib). Files are not uploaded to our servers.
i. Google Sign-In and Google Sheets Integration (optional): If you choose to sign in with Google or connect your Google Sheet, the extension accesses your Google account email and profile solely to authenticate your account, and your selected Google Sheet solely to read or export client profiles and form records per your explicit action. We do not store your Google credentials on our servers, sell your Google data, or use it for advertising or AI model training. Applyn's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. How we use information
We use information to provide and secure the Service, verify licenses and workstation seats, process payments and issue receipts, provide customer support, prevent abuse, improve the product using non-personal diagnostic metrics, and meet statutory accounting obligations. We do not sell personal data and we do not show advertisements.
5. Automatic deletion
Active client form data in the extension session is cleared after 30 minutes of inactivity to protect walk-in customers on shared counters. Saved reusable form templates and saved master client profiles remain in your local storage until you explicitly delete them from the extension or uninstall the extension.
6. Browser permissions
The extension requests access to websites (all HTTPS and HTTP sites) because operators fill forms across diverse central, state, and educational portals. It uses this access solely to detect form input fields and enter saved values when you trigger an action in the side panel. It does not read, log, or transmit your browsing history. Specific permissions include:
storage: To save your templates, client directory, and settings locally on your computer.sidePanel: To render the Applyn interface docked beside your active portal tab.activeTabandscripting: To detect input fields and fill values on the portal tab you actively invoke.host_permissions(all URLs): To enable autofilling across the various state and central portals you navigate. Reusable templates can be locked to a specific domain, and the extension alerts you if you attempt to fill a form on an unexpected website.
7. Who we share information with
We share data only with infrastructure providers that help us run the Service: Supabase (authentication and database), Vercel (web hosting), and Razorpay (payment processing). We may disclose information if required by court order, law enforcement, or applicable Indian law. We do not share your customers' application data with third parties.
8. Your responsibility for customer data
You decide what customer data you enter into Applyn. You are responsible for obtaining your customers' consent and for using their personal information only for the specific government welfare, admission, or certificate applications they authorized you to file. Do not share your login credentials or leave a counter unlocked with applicant details visible on screen.
9. Security
We use encrypted connections (HTTPS with TLS 1.3) for all communication with our servers, strict role-based access controls on our database, and restricted administrative privileges. No computer system is 100% impenetrable. If we become aware of a security breach affecting your account data, we will notify affected account holders within 72 hours and report to authorities as required by Indian law.
10. Retention
Account and billing records are kept for 7 years to meet statutory Indian accounting, taxation, and audit requirements, after which they are securely deleted or anonymized. You can request account deletion at any time. Data stored locally in your browser is deleted whenever you clear your Chrome extension data or uninstall Applyn.
11. Your rights
You may request access to, correction of, or deletion of the personal account data we hold about you, withdraw consent where applicable, or register a grievance. Email support@applyn.in. We will respond within 3 business days. This policy is structured to align with India's Digital Personal Data Protection Act, 2023.
12. Children
The Service is designed exclusively for adult business operators, CSC entrepreneurs, and authorized personnel. It is not directed at or marketed to children under 18 years of age.
13. Changes
We will post any revisions to this Privacy Policy on this page with an updated effective date. If a change materially affects your rights or data handling practices, we will also notify registered account holders by email.
